Speaker portal

The speaker portal (/portal) is the self-serve side of opensesh: accepted speakers complete onboarding, upload materials, and maintain their public profile without emailing organizers. Speakers sign in with a magic link — same as CFP submitters.

The portal navigation is Home, My Submissions, My Sessions, Tasks, Profile.

Tasks

The Tasks page groups work into My tasks (personal onboarding items), Submission tasks (per-session items), Done, and Session files. Each task is Open, Done, or Waived — organizers can waive items that don't apply to a particular speaker.

A ready-made checklist

Tasks are assigned automatically when a submission is accepted (from templates the organizer defines), so a freshly accepted speaker logs in to a ready-made checklist.

Deliverables and files

File-based tasks — slides, headshots, one-pagers — are deliverables, shown as Outstanding or Uploaded. Uploads are versioned and stored in the deployment's R2 bucket: a speaker can replace a file and organizers keep every version. Organizers define the requirements per session or as file requests, with accepted file types, a max size, and due dates.

Profile editing with approval

The speaker edits on Profile

Speakers edit their own bio, headshot, and logistics on Profile — but edits don't go live directly.

Submit changes for approval

The speaker clicks Submit changes for approval, and the change lands in the organizer's Content queue as a diff.

The organizer approves

Until it's approved, public pages keep showing the last approved version. Previous profile versions can be restored if an edit needs rolling back.

This closes the classic conference-website failure mode: speakers keep their info current, and nothing unreviewed ever reaches the audience.

The organizer's side

Three admin pages drive the portal:

PageWhat you do there
Tasks (/admin/tasks)Define reusable task Templates, track everyone on the Assignments board, and Remind stragglers by email.
Portal Forms (/admin/portal-forms)Build extra forms for speakers (dietary needs, AV requirements), review Responses, and Export CSV.
DeliverablesConfigure session file requirements and file requests (accept types, max size, due dates).

Per-speaker progress rolls up into the Task progress column of the Speakers directory, so you can see at a glance who's ready and who needs a nudge.

The three typical states

The demo personas show them: Maya (all tasks complete), Lina (tasks pending), and Jamal (missing bio).
